Refund & Cancellation Policy
A legal disclaimer
Effective Date: September 4, 2026
Salus Sanctuary LLC (“Salus Sanctuary,” “Salus,” “we,” “our,” or “us”) is committed to maintaining clear and transparent financial practices for our patients.
This Refund & Cancellation Policy provides general information regarding payments, cancellations, refunds, credits, insurance adjustments, and other financial matters related to services provided by Salus Sanctuary.
Specific financial terms provided to you during admission or intake may also apply.
Refund Policy - the basics
Payments for behavioral health services that have already been provided are generally non-refundable.
This includes, as applicable:
-
Individual counseling or therapy sessions;
-
Intensive Outpatient Program (IOP) services;
-
Partial Hospitalization Program (PHP) services;
-
Group therapy;
-
Psychoeducation or educational groups;
-
Medication-management appointments;
-
Telehealth appointments; and
-
Other clinical or behavioral health services already rendered.
A patient's decision to discontinue treatment does not ordinarily create a right to a refund for services that have already been provided.
What to include in the Refund Policy
Advance Payments and Deposits
Salus Sanctuary may require a deposit or advance payment before admission, enrollment, an appointment, or the start of certain services.
Unless otherwise disclosed in writing, an advance payment will be applied toward the patient's financial responsibility for services provided.
If services paid for in advance are not provided, any amount eligible for refund will be determined after Salus Sanctuary reviews the patient's account, services rendered, outstanding balances, insurance activity, applicable cancellation requirements, and other financial obligations.
Salus Sanctuary will not retain payment for clinical services that were not provided when applicable law requires the amount to be returned.
Program Discontinuation
Participation in an IOP, PHP, group program, or other structured treatment program does not guarantee completion of the entire program.
If a patient voluntarily withdraws, is discharged, transfers to another level of care, or otherwise stops participating, the patient's account will be reviewed based on services actually provided and any applicable financial agreement.
Discontinuation of a program does not eliminate responsibility for services already received.
When an eligible credit remains after the account has been reconciled, Salus Sanctuary will process the appropriate refund or credit.
Appointment Cancellations and No-Shows
We understand that schedules and circumstances can change.
Patients are encouraged to provide as much advance notice as possible when an appointment must be canceled or rescheduled.
Salus Sanctuary may establish cancellation or no-show fees for certain appointments or services. Any applicable fee and required cancellation period will be disclosed to the patient through the applicable financial agreement, consent forms, scheduling process, or other written notice.
Cancellation and no-show fees are generally not billed to insurance and may be the patient's responsibility.
Exceptions may be considered for emergencies or other circumstances at Salus Sanctuary's discretion and as required by applicable law.
Insurance Payments and Adjustments
Verification of insurance benefits is not a guarantee that an insurance company will pay for services.
When insurance is used, the patient's final financial responsibility may change after the health plan processes a claim.
Salus Sanctuary may adjust an account based on:
-
Insurance payments;
-
Contractual adjustments;
-
Deductibles;
-
Copayments;
-
Coinsurance;
-
Denied claims;
-
Corrected claims;
-
Coordination of benefits; or
-
Other payer determinations.
